LAIR GUIDELINES
The primary role of Lair members is to collectively support Gerald Levert in a common region while forming solidarity with other G. PHI G. members locally. Lairs which are in full compliance with these guidelines are considered "Active Lairs", and the responsibilities of its members include:
Support to the lair, and the officers of the lair, by attending and participating in meetings and activities willingly and whenever possible. Lairs must have a President, Vice President, and Secretary. A Sergeant at Arms is required for Lairs with more than three members. Lairs should not have a “Treasurer” position nor an Assistant President or Assistant Vice President. A lair can create auxiliary positions such as “Creative Manager, which may be responsible for coming up with activities for the group. A member can be appointed to auxiliary position by the President, but cannot serve more than one 11 month term. An auxiliary position must be approved by the founders.
- Maintain an atmosphere conducive for creativity and harmony; realizing that the lair is a forum to express an individuals support and admiration for the music of Gerald Levert. Therefore a members’ participation is warranted, appreciated and encouraged.
- Assist the officers, and other members whenever possible.
- Communicate issues with management or officers as soon as issue arises, and/or the founders if necessary.
- Lairs who plan any activity(ies) which will include the sorority's name must be approved prior to the date of the event.
- Each lair MUST adhere to GPHIG rules on the election process. Lairs which are not abiding by the governing rules will not be allowed to have officers.
- Lair officers must be elected by lair members and no lair member can appoint other officers. Each lair officer MUST be elected by lair members.
- No one lair officer or member can make decisions for the entire lair. Decision that are not unanimously agreed must be voted upon by a show of hands. The majority vote wins.
- The lair Secretary should ensure that the officers list is current and should turn in an updated list to the founders when changes are made.
- Lairs must notify Founders when a lair meeting will take place. Please include the date, place and time of the meeting.
- The lair Secretary should turn in minutes from each lair meeting no later than five days after the date the meeting was held. Minustes must include names of all members present at the meeting and names of members excused. Minutes must include any all all actions taken and voting. Minutes must be in a word document and sent via email to the founders via email.
Impeachment of a Lair Officer:
Only the founders of G. PHI G. have the right to remove an officer from their position in a lair prior to their full term of service. Members and other officers of a lair have the right to request that an officer be removed in writing to the Founders. The process to request removal of an officer is as follows:
- A formal complaint by two or more individuals against the officer must be registered via email to the founders.
- The complaint should outline specific dates, and incidents pertaining to the officer, and should not be a personal attempt to oust an officer from a position.
- The founders will respond to a formal complaint by doing the following.
- Share the complaint with the officer and request an explanation in response to the complaint.
- Attempt to rectify the situation within the lair, by the interested parties.
- If attempts to rectify the situation fail the founders will then meet to review the facts and determine the outcome of the complaint.
Until the founders have rendered an official decision the officer should continue to serve in their elected capacity; and is invited to any meeting or activity held by the lair.
Grounds for removal include but are not limited to the following:
1. Habitually not fulfilling the responsibility of their position within reason,
2. Willfully causing discord among the membership,
3. Engaging in negative behavior,
4. Has presented themselves as a major issue among a lair.
5. Refusing to comply with the rules set forth by the Founders
6. Blatantly disrespecting members of the lair, or other officers
All rules and guidelines are subject to revision by the founders at any time for any reason.
